Job Description

Main Purpose of Job: To provide a comprehensive, proactive and high quality senior secretarial and administrative support service to the Chairman and Board of Directors, Chief Executive Officer and the Director of Coaching.

Key Responsibilities:

1 Providing executive level secretarial and administrative support to the Chairman and Board of Directors and its Sub-Committees, Chief Executive Officer and Director of Coaching.

2 Producing detailed and accurate Board and Board Sub-Committee minutes and ensuring appropriate follow up action is carried out promptly.

3 Pro-actively managing multiple, busy and complex diaries at Board and Executive level including prioritising conflicting and changing tasks on a daily basis and making travel and accommodation arrangements.

4 Providing full organisational and secretarial support to meetings including drafting of agenda and associated papers.

5 Maintenance of an annual meeting dates calendar and cycle of agenda items.

6 Administrative support on Board matters relating to Corporate Governance and the Code for Sports Governance, including:

• Recruitment of Non-Executive Directors
• Registration of Non-Executive Directors (new appointments and registrations) with Companies House
• Induction process for new Board members (coordination of induction and sharing of relevant documents)
• Board succession planning and Board working practices.
• Board approval for the organisation’s Articles of Association and related administrative tasks.

7 Monitoring and flagging urgent emails for the Chief Executive Officer and Director of Coaching, screening phone calls and handling enquiries and requests as appropriate.

8 Providing general office support eg raising purchase orders and processing invoices and producing documents, briefing papers, reports and presentations.

9 Supporting the Board and Executive Officers in the development and maintenance of relationships with internal and external colleagues.

10 Reviewing secretarial and administrative systems on a regular basis and implementing changes to ensure maximum efficiency.

11 Monitoring of any budgets, as delegated by the Executive Officers.

12 Dealing with all correspondence independently on behalf of the Executive Officers, only seeking guidance and input when deemed essential.

13 Maintaining a high level of awareness of UK Coaching programmes, products and services in order to respond to specific needs of individuals or groups.

14 Contributing to the development of UK Coaching policy and strategy through internal staff meetings and working groups.

15 Working with UK Coaching partners to ensure that equity in coaching is developed and delivered effectively.

16 Maintaining an awareness of team members and other UK Coaching staff.

17 Following and promoting the mission, values and policies of UK Coaching internally and externally.

18 Following, promoting and implementing UK Coaching’s policies for the equal treatment of all employees, applicants and customers.

19 Undertaking any other tasks appropriate to this level of responsibility.
